Who We Are

This Privacy Policy explains how Padfoot Labs Limited trading as InvoGuide, located in Auckland, New Zealand (“InvoGuide”, “we”, “us”, or “our”) collects, uses, and protects your information.

Scope of This Policy

This Policy applies when you:

  • Communicate with us via email, social media, or other channels.
  • Visit or interact with our websites and landing pages (including through ads and marketing campaigns).
  • Create and use an InvoGuide account.

Legal Basis for Processing (New Zealand)

We collect limited personal information to operate and improve our services. This includes:

Identification Information

  • We collect your email address when you create an account.
  • Other personal information—such as your name or phone number—is optional and only collected if you choose to provide it.
  • If you sign up to receive updates, newsletters, or marketing communications from us (for example, via subscribe forms on our website or landing pages), we collect your email address and any other information you choose to provide (such as your name or preferences). These forms are powered by our email service provider, MailerLite.

Financial Information

  • We do not store your payment information.
  • All financial transactions are securely processed by our payment provider, Stripe, in accordance with their own privacy and security policies.

Communication Information

  • If you contact us or respond to surveys, questionnaires, or other feedback forms, we may collect the information you voluntarily share. This is entirely optional.

Social Media Information

  • If you interact with InvoGuide via social media (e.g., by liking or commenting on posts, or messaging us), we may access the information you make available on those platforms based on your privacy settings.

Internet and Usage Information

  • We automatically collect certain technical information to help us improve functionality and user experience, such as:
    • IP address, browser type, operating system, device identifiers, and time of access.
    • Pages viewed, links clicked, time spent on pages, and navigation patterns.
    • The website, advertisement, or campaign that referred you to our site.
  • We use this information to operate, secure, and improve our services, understand usage patterns, and measure the performance of our marketing campaigns.

Cookies and Similar Technologies

InvoGuide uses cookies and similar technologies (such as pixels and scripts) to operate and improve our websites and platform. These fall into the following categories:

  • Essential cookies – for example, authentication cookies (such as NextAuth session cookies) that keep you securely logged in and enable core functionality.
  • Analytics cookies – used to understand how visitors use our sites and app so we can improve them (for example, which pages are most popular, or where users experience issues).
  • Advertising and measurement cookies – used to measure the performance of our advertising campaigns and, where applicable, to show you more relevant ads.

You can control or disable cookies through your browser settings. If you disable essential cookies, some features of the site or platform may not function properly.

How to Control Tracking and Opt-Out

You can control how your information is used by analytics and advertising platforms in several ways:

  • Direct Opt-Out: Contact us at support@invoguide.com if you wish to opt out of specific tracking or request information about our analytics practices.
  • Google Analytics: Install the Google Analytics Opt-Out Browser Add-on to prevent Google Analytics from tracking your visits.
  • Google Ads: Manage your ad preferences and opt out of personalized ads via Google Ads Settings.
  • Meta: Adjust your advertising preferences and limit targeted ads via Meta Advertising Preferences.
  • All Trackers: Disable cookies in your browser settings (though this may affect site functionality).

Analytics and Advertising

We use third-party analytics and advertising tools to help us understand how people use our websites and platform, and to measure and improve the performance of our marketing campaigns. These tools may use cookies, pixels, or similar technologies to collect information about your use of our sites and services.

Analytics & Performance Measurement

  • Google Analytics to track and analyze user interactions with our website and platform (such as pages visited, time spent, user flows, and events) to understand usage patterns and improve our services.
  • Microsoft Clarity to understand how users interact with our website and app (such as clicks, scrolls, and page visits) so we can improve usability and experience. Clarity may record anonymized session data and generate heatmaps and usage statistics.

Advertising & Conversion Tracking

  • Meta (Facebook) Pixel to measure the effectiveness of our Meta advertising campaigns and, where permitted, show you more relevant advertising based on your interactions with our site.
  • Google Ads (including conversion tracking pixels and audience building) to measure campaign effectiveness and deliver targeted advertising.
  • LinkedIn Insight Tag to measure the effectiveness of our LinkedIn advertising campaigns.

Tag Management

  • Google Tag Manager to manage and deploy our analytics, measurement, and advertising tags across our websites and platform.

These providers process information on our behalf and in accordance with their own privacy policies. Where required, we rely on your consent or our legitimate interests in marketing and improving our services as the legal basis for using these tools.

We believe it is fair and reasonable to use these tools because we transparently disclose them in this policy, visitors to a modern SaaS platform have a reasonable expectation that analytics and performance measurement occur, and the data is used to improve our services and marketing—not sold or used for unrelated purposes.

Marketing Communications

If you have subscribed to our newsletter, joined a waitlist, or otherwise opted in to receive marketing communications from us, we will use your contact details to send you product updates, educational content, and offers related to InvoGuide.

You can unsubscribe at any time by clicking the “unsubscribe” link in any email from us or by contacting us at support@invoguide.com. We manage these email communications using our email service provider, MailerLite.

Content Within the Account

Your guidebooks and any related content are stored securely. We use encryption to protect all stored data both in transit and at rest, using industry-standard security protocols. We do not access your content unless you request support or where required by law.

Guest Information

InvoGuides are accessed by guests as standard web pages. They are not required to create accounts or submit any personal information to view a guidebook. We do not collect, store, or process any personal information from guests at any time or in any form, unless explicitly consented to. Only hosts are required to sign up in order to create and manage guidebooks on the platform.

Location Data

We do not track your precise location. However, we may collect region-level location data (such as country or time zone) based on your IP address for localization, analytics, and fraud prevention.

Children’s Privacy

InvoGuide is designed for property hosts and other business users and is not intended for children under the age of 16. We do not knowingly collect personal information from children. If you believe that a child has provided us with personal information, please contact us at support@invoguide.com so we can take appropriate steps to delete the information.

Who We Share Your Data With

We do not sell your personal data.

We may share your information only with trusted service providers necessary to run our business, such as:

  • Payment processors (e.g., Stripe) to process subscription payments.
  • Hosting and infrastructure providers to host our websites, platform, and data securely.
  • Analytics and marketing providers (such as Microsoft Clarity, Meta, Google Tag Manager, and email marketing tools) to analyze usage, run campaigns, and measure performance.
  • Email and marketing tools, such as MailerLite, to manage our email lists, send newsletters and other communications, and measure engagement.

These providers are only permitted to use your information as necessary to provide services to us and are required to protect your information. We maintain Data Processing Agreements with all service providers who process personal information on our behalf. A list of our current sub-processors is available upon request.

How Long We Retain Your Data

We retain account information for as long as your account remains active. If you close your account, we will delete all associated personal data in accordance with our deletion procedures, except where we are legally required or permitted to retain certain information (e.g., for accounting, fraud prevention, or tax compliance).

For content stored within the platform

  • Published guidebooks remain available unless you unpublish or delete them.
  • Unpublished guidebooks will be automatically deleted after 3 months of inactivity.
  • Prior to deletion, we will send a notification to the email address associated with your account to inform you of the upcoming removal and give you the opportunity to take action if needed.

Analytics and Advertising Data

Analytics and advertising data (such as user sessions, pageviews, and conversion events) is typically retained according to each provider’s default retention policy:

  • Google Analytics: 14 months by default.
  • Microsoft Clarity: Sessions are typically retained for approximately 13 months.
  • Meta and Google Ads: Conversion data is retained for measurement and reporting purposes, typically up to 2 years.

You can request deletion of your data or adjustment of retention settings by contacting us at support@invoguide.com.

Data Backup Policies

We perform regular backups of data to maintain service continuity and protect against accidental loss. These backups are encrypted and stored securely. Backup data is retained only for operational recovery purposes and is not used for any other purpose. If a user deletes their account or content, the associated data will also be removed from backup archives after a reasonable period in accordance with our data deletion policies.

Your Rights Over Your Data

You have the right to:

  • Access the personal data we hold about you
  • Correct or update your information
  • Request deletion of your account and associated data
  • Withdraw consent where applicable
  • Object to or restrict how we use your data

If you no longer wish to receive marketing emails from us, you can unsubscribe at any time using the link in those emails or by contacting us. We will update our records (including within MailerLite) to reflect your preferences.

Updates to This Policy

We may occasionally update this Privacy Policy to reflect changes to our practices or for other operational, legal, or regulatory reasons. When we do, we will notify you via the email address you have provided us. We encourage you to review this Policy periodically to stay informed about how we are protecting your information. Your continued use of InvoGuide means you accept the updated terms.

The “Last updated” date at the top of this page indicates when this Policy was last revised.
